🧹 Migration from version 2: Dashboard Cleanup & Credit Log Accuracy

At Smile Checks, we are committed to providing a clean, accurate, and high-performance experience. To ensure your dashboard remains focused on your active candidates, we recently performed a system-wide maintenance update to close inactive check requests and reconcile internal credit logs.

1. Automatic Cleanup of Inactive Requests

On May 24, 2026, our system performed a cleanup of background check requests that had been inactive for more than 30 days.

  • Why we did this: Checks that sit in "Invited" or "Collating" status for over a month often involve candidates who have moved on or abandoned the process. Removing these stale entries ensures your "Active Requests" list only shows the candidates you are currently focused on.

  • What this means for you: These checks now appear as Closed. If you still need a candidate to finish their check, you can reactivate it at any time using the Reopen button (available for Owners and Admins).

2. Understanding Your Credit Log Updates

As part of this accuracy update, you may notice new entries in your Transaction History. These are internal accounting updates to ensure your "Pending" balance (credits reserved for active work) matches your actual active checks.

This "un-reserved" the credits that were held for an old check we just closed.

Pending Correction

A technical adjustment to fix an internal error in the "Pending" total.

None. This was a routine correction to ensure accuracy.

Note on Available Balance: These updates only affected your Pending total (reserved credits). Your Available Balance—the credits you have available to spend on new checks—was not reduced or affected by this maintenance.

3. Frequently Asked Questions

"Can I still see the data from a closed check?"

Yes. You can still click into any closed check to view the activity log or any references that were submitted before it was closed.

"What if I still need the candidate to finish?"

Simply open the request and click the Reopen button. This will reactivate the candidate's link and give them a fresh 10-day window to complete the form. Reopening a check will use the necessary credits to resume the work.

"I see many entries in my log. Which candidate do they belong to?"

We have linked every update to a specific candidate. You can click the Reference ID in your Credit Log to jump directly to that candidate's file to see the details.
