Welcome to Smile Checks! As the Company Owner, you're the one who sets everything up before your team can start using the platform. This article walks you through exactly what to do and what to expect β€” from your first login to submitting your first check.

πŸ“§ Step 1: Check Your Email

Smile Checks will send a setup invitation to the email address registered for your company. Look for an email from do-not-reply@getsmilechecks.com.

  • Check your spam or junk folder if you don't see it
  • The invitation link expires after 7 days β€” if it has expired, contact Smile Checks support

πŸ”’ Step 2: Set Your Password

Click the link in your email. You'll be taken to a setup page where you create your login password.

  • Use a strong password β€” at least 8 characters with a mix of letters, numbers, and symbols
  • Your email address is pre-filled and will be your permanent login

🏒 Step 3: Complete Your Company Profile


This is the step unique to Owners. Before you can use the portal, you'll be prompted to provide your company's details. Have these ready:

Your account is live, but there are a few things to set up before your team can hit the ground running. Here's the recommended order:

  1. 🎨 Set up your branding
    Go to Settings β†’ Company and upload your company logo and set your primary brand colour. This is what candidates will see on the form they receive β€” make it look like you.
  2. πŸ’³ Purchase credits
    Go to Credit Orders in the sidebar and buy a credit package. Your team cannot submit any background check requests until credits are available. As Owner, only you (and Administrators you appoint) can purchase credits.
  3. πŸ‘₯ Invite your team
    Go to Settings β†’ Users and send invitations to your colleagues. Assign each person the right role:
    • πŸ”§ Administrator β€” for senior HR staff who manage users and credits
    • πŸ“‹ Manager β€” for HR managers who oversee all checks
    • βœ… Verifier β€” for recruiters who submit day-to-day check requests
    • 🀝 Partner β€” for external verifiers who upload reports
  4. πŸ”” Configure notification settings
    Go to Settings β†’ Company and set your preferred reminder frequency and any CC email addresses for system notifications.
  5. πŸ”— (Optional) Set up API or webhook integration
    If you're connecting Smile Checks to an ATS or other system, go to Settings β†’ Integrations to find your API key and configure outbound webhooks.

As the Owner, you have full control over your company's account. Here's what that means day to day:

  • You can see all check requests submitted by every member of your team β€” not just your own
  • Your Dashboard shows credit balance, team stats, and a live view of all active checks
  • You receive email alerts when credits run low or when a credit purchase is confirmed
  • Only you (and Administrators) can purchase creditsinvite new userschange user roles, and manage company settings
  • You are the only one who can assign the Owner role β€” all other roles can be managed by Administrators too

  • Set up branding first β€” candidates see your logo immediately on their first invitation, so get it in before you submit any checks
  • Buy more credits than you think you need β€” it's better to have a buffer than to be blocked mid-hiring sprint
  • Invite an Administrator early β€” having a backup person who can manage credits and users means the portal never grinds to a halt if you're unavailable
