👥 Understanding Roles and Permissions

Smile Checks uses a Role-Based Access Control (RBAC) system. Every user is assigned a role that determines what they can see and do in the portal. This keeps your data secure and ensures each person only accesses what they need.

🎭 The Five Roles

🏢 Owner

The company account owner. Has full control over everything — users, credits, settings, and all check requests. Typically the HR Director or company administrator who set up the account.

🔧 Administrator

Similar access to the Owner for day-to-day operations. Can manage users, credits, company settings, and all check requests. Cannot transfer company ownership.

📋 Manager

Can create and manage all check requests for the company, assign Partner Verifiers, and adjust company settings. Cannot manage credits or invite new users.

✅ Verifier

The everyday user. Can submit new check requests and view only the requests and reports they personally created. Cannot see other people's checks.

🤝 Partner

An external collaborator (e.g. a third-party verification provider). Can only view and upload reports for check requests that have been specifically assigned to them. Cannot create check requests.

🔒 Data Privacy by Role

  • Verifiers only ever see their own check requests and reports — not their colleagues'.
  • Partners only see check requests they are actively assigned to. Once an assignment is revoked, they immediately lose access.
  • Owners and Administrators can see all company data but cannot access other companies' data.
💡 Tip: Not sure what role you have? Go to Settings > Profile — your role is displayed there.
