Smile Checks is here to help make the background verification process smooth, secure, and transparent for both you and your prospective employer. If you’ve been invited to complete a background check, this guide will walk you through what to expect, what’s needed from you, and how we keep your data safe.
Why Background Checks Are Important
Background checks help employers confirm the accuracy of the information you’ve shared during your application process. This protects the integrity of hiring decisions and builds trust between you and your future employer.
It’s not about catching you out — it’s about making sure everything is accurate, verified, and compliant with company and regulatory requirements.
Your Role in the Process
As a candidate, your main responsibility is to:
- Provide accurate and complete information
- Respond promptly to requests for documents or details
- Grant access to required online accounts (if applicable)
- Follow instructions for linking accounts and uploading files
The faster you provide the needed information, the sooner the check can be completed.
Depending on the checks requested by your employer, you may be asked to provide:
- Personal Information – Full name, date of birth, current and past addresses
- Government-issued IDs – Passport, Driver’s License, UMID, or other valid IDs
- Educational Records – Diploma, transcript of records
- Employment Records – Certificates of employment, payslips
- Online Account Access – Logins for government portals such as social security or national health insurance for direct verification
How Long the Process Takes
The length of the process depends on the types of checks requested. Most verifications are completed within a few days to a couple of weeks.
You’ll be able to track your progress through the Smile Checks portal, and you’ll receive email notifications for major updates.
Your Privacy and Data Security
We take your privacy seriously. Smile Checks complies with the Philippine Data Privacy Act (DPA), the EU General Data Protection Regulation (GDPR), and other applicable global privacy standards.
- Your data is stored securely and only accessible to authorized personnel
- We only keep your information for a maximum of 60 days or until you revoke access
- You can request data deletion at any time by contacting us
