🏷️ Check Request Statuses Explained
Every check request moves through a series of statuses as it progresses. Understanding what each status means helps you know exactly where a check stands and what action (if any) is needed.
📊 Status Overview
| Status | What It Means | Action Needed? |
|---|
| 🔵 Invited | The candidate has been sent their invitation link. We're waiting for them to fill in their form. | None from you — candidate needs to act |
| 🟡 Collating Report | The candidate has completed their form. Checks are now being processed and reports are being gathered. | None — checks are in progress |
| 🟢 Completed | All selected checks have been completed and all reports have been delivered. | Review your report |
| ⚫ Closed | The check has finished but not all reports were received. Unused credits have been refunded. | Review available reports; consider a new request if needed |
| 🔴 Cancelled | The check request was manually cancelled. All allocated credits have been refunded. | None — submit a new request if needed |
⏰ Auto-Close After 10 Days
Every check request has a due date of 10 days from creation. If the request is still in Invited or Collating Report status when the due date passes, the system will automatically move it to Closed.
When a request is auto-closed:
- Credits for incomplete checks are automatically refunded to your Available balance
- Any reports that were completed remain accessible
- You can submit a new request for the same candidate if needed
🔄 How Statuses Change
The flow of statuses is:
Invited → Collating Report → Completed or Closed
A request can also move to Cancelled at any point before completion (by an Owner, Administrator, or Manager).
💡 Tip: If a request has been Invited for several days with no movement, the candidate may not have received or opened their email. Open the request details and share their invitation link directly.
